What it Does

WebDocs is a complete document management solution that helps you streamline business processes and eliminate paper by digitally managing, storing and distributing all your key business content. Use WebDocs to manage all kinds of electronic documents – IBM i/iSeries spool files, PC and business system-generated content, invoices, work orders, email, forms  and more.

The software is browser-based, meaning you can access content from anywhere at anytime. You can choose from a hosted cloud version of WebDocs document management software or an on-premise model. Regardless of which version you choose, key security features restrict access to authorized users only. When you manage your documents with WebDocs, you get more time to act on information instead of searching for it. WebDocs connects to other business applications so you can electronically store existing IBM i/iSeries and PC files, emails, faxes, and content generated from your ERP or other back-end systems.

Digitize paper documents

Documents not digital? Just scan and index them. The system works with most standard scanners, including TWAIN, ISIS and Kofax products, and multi-function (MFP) copier/scanner devices. Choose from our Scan Workstation or advanced Intelligent Data Capture scanning software solutions.

Find your stuff fast

Information’s useless if you can’t find it. With WebDocs, you can assign multiple search keys to each document, giving you the ability to quickly search for and find the information you need.

Use and share information

Review, modify and route documents to colleagues or clients from anywhere. Every time a document changes, WebDocs creates a new version, so information is never accidentally lost or overwritten.

Works from inside your applications

No need to open your browser to find or save a file in WebDocs. The software can integrate into your business applications and give you one-touch access to the information you need.

Enterprise level security

Your content is always safe thanks to advanced version control and security features that log all document activity and prevent documents from being overwritten or deleted. Document access is also locked down and limited to authorized users only. As an added option, we provide Global Velocity's data loss prevention solution, rapidDLP, as an additional security module.

WebDocs is available in IBM i/iSeries (IBM DB2 Server for VSE & VM), Windows (SQL Server), hosted and small business versions.

How it Works

  • Filing a document
    Getting documents into WebDocs is easy. You can scan paper documents or import emails, existing electronic files and other digital content generated from your PC, IBM i/iSeries or any business application. Documents are indexed by optical character recognition (OCR), bar coding, screen scraping or direct data entry. The system works with all standard scanners, including TWAIN, ISIS and Kofax compliant products.
  • Finding a document
    WebDocs gives you multiple ways of quickly finding what you need. Our customizable web interface allows for up to 10 search keys for each document. You can search by document type, date, title and more. Plus, WebDocs can integrate into existing applications so that searching is as easy as clicking a “hot button” or function key.
  • Managing a document
    You can review and modify documents online, and email, print or fax them as needed. Documents can be routed through basic workflows using the system’s built-in routing engine. WebDocs also has security features that control access to documents based on authority settings you control. Every time a document is changed, a new version is created and logged, making sure information never gets lost or overwritten.
