Sons of Norway's ROI Insurance Policy

 

Insurer saves $70K a year by automating policy processing

 

BACKGROUND

Minneapolis-based Sons of Norway is a fraternal organization that provides financial, insurance and other services to 70,000 members in the United States, Canada and Norway. As of the end of 2006, the company had 18,000 insurance certificates and $580 million worth of life insurance in force.

 

CHALLENGE

Insurance has traditionally been a paper-burdened business. Applications, medical reports and other documentation arrive on paper. Policies are then produced on paper and mailed to customers.

 

Paper is costly to buy, cumbersome to manage, time-consuming to distribute and bulky to store. To reduce its storage costs, Sons of Norway transferred many documents to microfilm, but this solved only one part of the problem. Microfilm was still expensive and it was neither much easier to manage nor faster to access and distribute than paper.

 

Another productivity problem resulted from the fact that Sons of Norway sells policies in almost all 50 U.S. states. Each state has different insurance laws and requires different language, inclusions and exclusions in policies. Consequently, even though the basic nature of the policy may be identical, the pages in a policy written for someone in one state will not be the same for someone in another state. Thus, assembling the different policy pages was an administrative burden.

 

SOLUTION

Sons of Norway turned to WebDocs to help digitize and store documents and automate their policy management process. WebDocs is used to store and manage scanned images of insurance applications, medical exam results and other documents that are received on paper. In addition, images of system-generated documents, such as policy pages and annual statements for universal life policies, are automatically stored in WebDocs as they’re created. Now, rather than having to hunt down microfilm, an authorized employee can, with a click of button on his or her desktop computer, immediately view the whole history of a policy, including medical reports, beneficiary changes and so on.

 

Sons of Norway also uses the RJS Document Assembly utility to automate the assembly of policy documents. When a new insurance policy is sold, the software automatically assembles all of the policy pages required for the policyholder’s state into a single PDF document. That PDF document is then printed and sent to the policyholder. An electronic copy is stored in WebDocs so it can be easily accessed when needed.

 

RESULTS

By using WebDocs to scan and store critical policy information and automate the assembly of policy documents, Sons of Norway saves more than $70,000 a year. Replacing microfilm with electronic document management reduced labor costs, saved more than $4,000 a year in equipment expenses, and helped improve customer service by making policy information instantly accessible to anyone who needs it.

 

Formerly, customers were kept waiting while someone went off to retrieve the microfilm required to answer the customers’ questions. Now, a Sons of Norway employee just clicks a button to immediately view every document related to a particular policy or policyholder.

 

In addition, the ability to automate the assembly of policy documents into a single PDF file that can be printed or emailed saves Sons of Norway an estimated $20K in manual labor costs.

Think it Won't Happen to You? Think Again

 

School districts in Illinois were recently hit by the Clampi banking Trojan that stole money from district bank accounts by extracting account information from their network. Investigators say organized criminal gangs based in Eastern Europe are moving millions of dollars per day out of the U.S. using the Clampi Trojan. The stolen bank account information is used to transfer money to unwitting “money mules” who then wire the money offshore.

 

The Clampi Trojan has been an increasingly difficult problem for small businesses and government agencies alike. A school district in Pennsylvania had more than $440,000 stolen in 2008 with a similar scam. They sued their banking institution after it was found accountable for the fraud.

Saving Letters

 

RJS Software frequently offers iSeries Office Integrator as a replacement solution for IBM’s Office Vision/400.  iSeries Office Integrator allows you to merge IBM i data into pre-formatted templates such as mailers, statements and invoices.  You can pull a single set of data from an RPG program, like customer or vendor information, and merge it into a single letter, or pass down a full file to create a large number of letters..

 

Let’s say you would like to save a copy of these letters for later use instead of just printing and mailing them.  Using our PDF creation utility, you can now specify a storage location and file name when doing a merge to save a copy of your letter in PDF format.  Simply call the command from your RPG program using field values like account number, name or policy number as your file name. Not only will you simplify the mailing of your information, but you’ll also have a backup copy to store in a document management solution such as WebDocs.
