Code 3 Signals Time and Dollar Savings
RJS helps to streamline document flows and eliminate paper.
BACKGROUND
When ambulances, fire trucks and police cars rush to an emergency, they need to make their presence well known. That’s where Code 3, Inc. comes in. The St. Louis-based company engineers, manufactures and markets lighting and sound-based warning products used in emergency response, utility, service fleet, and industrial settings to customers in more than 70 countries.
CHALLENGE
Code 3 was burdened by a sluggish and expensive, paperbased forms production, distribution and management process that slowed down employee productivity and delayed order fulfillment and customer payment.
Many of the company’s internal reports were printed and then manually split and distributed. Order documents, advanced shipping notices and invoices were also mostly paper-based. Consequently, those forms were all burdened with all of the costs and time delays that paper-based information flows entail.
Code 3 reaped the rewards of switching from paper to electronic document production and distribution with the help of Report Splitter, Electronic Forms and Email Report Server.
SOLUTION
Code 3 uses the Report Splitter to receive and split files generated from JD Edwards and other programs based on variables in the reports. The report components can then be emailed, using Email Report Server, to the appropriate person, without the report ever being printed on paper.
Electronic Forms allows Code 3 to produce professional looking forms electronically or on paper, without the need for expensive preprinted forms. It does so by using electronic templates to merge the graphical elements of the form with the variable numerical and textual data.
In many cases, a single form uses all three products in an automated workflow. For example, when a distributor calls in an order, Code 3 produces an order acknowledgement that confirms the order. In the past, order acknowledgements were printed on multi-copy preprinted forms and then mailed or faxed.
Today, Code 3 uses Electronic Forms to produce professional-looking order acknowledgements in batches, without the need for preprinted forms. Report Splitter picks up the acknowledgements spool file and splits the file based on the customer number. The files then automatically go to Email Report Server which automatically emails the order acknowledgement to the customer.
Code 3 follows much the same process for picking and packing slips, advance shipping notices (ASNs), purchase orders, invoices and statements as well.
RESULTS
Many of the benefits that Code 3 receives from the RJS solutions have been tangible and measurable. For example, the company expects to save at least $40,000 over two and a half years by eliminating preprinted forms, cutting postage costs and reducing the cost of the labor that was previously required for paper-handling.
In addition, the production of electronic ASNs has resulted in considerable labor savings. An ASN, which provides the shipping date and a tracking number for an order, is produced when a shipment goes out. Code 3 uses Email Report Server to email ASNs to customers each evening.
Now, customers can use the tracking number on the ASN to check the status of their orders on the shipper’s Web site, thereby reducing the need to call Code 3. Consequently, the emailing of ASNs has resulted in labor savings of approximately $1,300 per month.
The bottom line is that RJS allows Code 3 to manage document flows more efficiently and effectively. “RJS has saved us money and it has saved us time,” said Jerry Voelker, the company’s IBM i manager.

Document Retention Made Easy
Endless rows of paper-filled filing cabinets serve as a constant reminder that you are likely retaining more documents than is truly necessary. But how do you go about purging documents that are no longer needed? If you have WebDocs the answer is simple and easy.
The Windows and IBM i versions of WebDocs both have retention rules that allow you to set document expiration periods for each document type you define. If your company’s retention policy calls for keeping Accounts Payable documents for seven years, simply choose to edit the corresponding document type and set the expiration period to seven years. WebDocs will notify you when your documents have expired. These files can then be purged from the system, moved to a different storage medium or archived to CD or DVD.
