Carisch Feeds Management Efficiency and Effectiveness

Wayzata, Minn-based Carisch, Inc. has nearly 1,700 employees spread across seven states.  They recently realized $250,000 in savings through better strategic sourcing and improved management of payroll and Human Resources documents.

Postage piling up

Carisch, Inc. used to do things the hard way when it came to payroll documents.  Pay checks and pay stubs were sent overnight via delivery service to individual store locations.  With 77 Arby's restaurant locations, those costs accumulate quickly.

Using WebDocs, Carisch captures and stores all payroll documentation electronically for individual restaurant managers to access, print and distribute to employees.  All employees are now required to take direct deposit or pay cards rather than receive live checks.

HR headache

The fast food industry has a very high employee turnover rate.  The by-product of that turnover is a high volume of Human Resources documents pertaining to past and present employees.  Applications, tax forms and disciplinary notices all must be managed.

WebDocs helped Carisch keep a handle on those documents.  Web access meant any restaurant manager or district manager could access employee documents in the event of a weekend termination when no HR personnel are in the corporate offices.

Where the plow meets the road

The biggest cost savings for Carisch came in the area of strategic sourcing.  The district managers were tasked with finding ways to save the company money to improve the bottom line.  An across-the-board review was performed on all contracted services like snow removal, garbage removal and hood cleaning, to name a few.

WebDocs allowed Carisch to gather all the relevant invoices and general ledger statements related to contracted services in a fraction of the time it would have taken to assemble them manually in paper form.  This strategic sourcing review helped Carisch save $250,000 annually.

Adaptability a hit

Mark Gregory, CFO at Carisch, liked how easy it was to implement WebDocs.  "It's easy to set up users and tell WebDocs what folders each user has rights to use.  And we can define those access rights down to the store level."

Carisch also expanded the use of WebDocs to incorporate other departments.  Says Gregory, "The more you use WebDocs, the more uses you find for the software.  Carisch also uses WebDocs to store contracts, tax returns, financial statements from our external auditors, and leases."
